What we build on Freshdesk
Freshdesk's own reports show averages. Teams that run on it need to know which tickets are about to breach, who owns them, and which agents need coaching. Everything below is built on the Freshdesk API, runs in your own cloud account, and leaves the helpdesk itself untouched.
What we build
Each piece runs in your own cloud account against the Freshdesk API. Adopt one or all of them.
Reporting that goes past the export limits
An incremental sync keyed on updated_since keeps a complete local copy of your tickets, working around the search API's 300-page cap and the rate limits. Aging buckets, per-agent workload, group queues, week-over-week deltas, drill-down links back to each ticket.
Owner nudges and escalation
Tickets sorted into respond now, parked, aged and stale by your thresholds. The owner gets one digest with a signed one-click ignore per ticket; the lead is copied only when a ticket keeps slipping. A weekly wins email recognises top closers.
Quality checks on outgoing replies
Detection of canned responses sent with unfilled placeholders, replies with no next step, and tickets closed without a customer reply. Flags land in the same digest.
AI review of every reply, privately
A two-stage model pipeline scores each reply on seven quality dimensions and writes coaching notes, running on your own hardware or in your cloud account. Nightly churn score per company.
Mass email through the helpdesk
Customer notices sent as Freshdesk outbound emails so SPF and DKIM pass and replies become tickets. Merge fields, throttling, and a contact-permission filter.
Tickets from other systems
Provisioning builds, billing mismatches and survey detractors create or update Freshdesk tickets with the right group, tags and custom fields, so the helpdesk stays the single queue.
Freshdesk specifics we have already solved
The parts that cost a first-time integrator a week each.
The 300-page search limit
Freshdesk's filter and search endpoints stop at page 300. We page by updated_since with a saved watermark instead, so syncs are complete and fast.
Rate limits per minute
Bursts hit HTTP 429. The sync backs off, retries, and never drops a page; reports run inside the limit without touching agents' interactive use.
Custom fields and ticket types
Reports are keyed on your custom fields (customer tier, product, region), not only the defaults, so the numbers match how your team actually works.
Proof
From production systems, described without client names. Numbers are rounded.
One Freshdesk instance kept fully in sync, incrementally.
About 17,000 lines of reporting and nudge code in production.
By on-premise models, about 100 a night.
